One of the most important things you can do as a host, is to make sure your guests feel welcome.
Here is an excerpt from my book; “Party Planning Secrets: The Ultimate Guide To A Successful Party.” "Greet your Guests with a High-Energy Welcome!"
Folks, this step works like magic!
The positive energy flow starts when a friendly greeter personally welcomes everyone entering the party.
Here’s a situation I’m sure many of you can relate to. You arrive at a nice restaurant, and the hostess is on the telephone. There is no acknowledgment from the hostess that you’ve arrived. You feel uneasy while waiting for some sign of recognition from the hostess who is still on the phone. Your uneasiness builds as you wait. After hanging up the phone and writing the reservation in the book, she finally greets you, takes you to your table, and says, “Enjoy your meal.” Chances are you’re not beginning your dining experience on a very good note.
Here’s how you should have been treated. Upon entering the restaurant, the hostess excuses herself from the telephone for a moment to acknowledge you with a big smile, letting you know she’ll be right with you. Once off the phone, she cheerfully welcomes you, thanks you for your patience, and shows you to your table.
Think about how you may have felt in each scenario. I’m sure you’d be much happier being treated in the second scenario than in the first.
Now imagine a similar situation at a party. The door is open or you ring the bell, and someone who just happens to be near the door opens it and says, “Come on in.” You ask for the hosts, and the guest replies, “I don’t know, I haven’t seen them.” You enter and people are mingling. You wander around looking for some acknowledgment. Other guests glance over and give you a small smile; remember, they entered the same way and are just getting comfortable themselves.
Do you feel welcomed and acknowledged? I doubt it. The way you’re greeted at the entrance kick-starts your energy. It gives you a sense of belonging that makes you feel welcomed. By the way, for those of you who are familiar with Dr. Abraham Maslow’s hierarchy of fundamental human needs, the third most important one is a sense of belonging.
Make your guests feel welcomed as soon as they arrive.
Welcome your guests at the door. If you can’t be at the door, have someone else greet your guests. Choose a close friend or someone with an upbeat attitude. As a host, you should always introduce guests to each other. As I mentioned above, a warm welcome puts people at ease and gives them a sense of belonging. It’s all about creating that positive energy flow.
Here’s an example of a greeting that you or your greeter can use to pass along that upbeat, positive energy:
“Hi, my name is PartyCharlie. Rose and Ray are out back where hors d’oeuvres are being served. The bar is to your left, and the DJ is taking requests. Have a wonderful time and let me know if there’s anything you need.”
Some hosts like to decorate the entrance of their party. If you have the budget or resources, by all means decorate it. The more welcoming and inviting, the better.
If you’re having a themed party, include the theme in your entrance. Have your decorations and greeters match the theme. Your entrance doesn’t have to be elaborate to be inviting. A simple welcome banner and balloons are always festive.
